Time off

# Leave management in hours with mobile approvals

Leave is counted in hours against each person's work schedule, so part-timers and four-day weeks come out right. Requests go to the line manager, who decides from their phone with the balance already checked.

## Balances from a dated ledger

Each policy posts accruals to a ledger every night. Pro-rata, carry-over and expiry are entries too, so when someone asks why they have 64 hours, you read them the lines.

- Accruing, manual and discretionary policies
- Pro-rata for joiners and leavers, waiting periods for new starters
- Carry-over limits and expiry dates, set once per policy

## Approvals on the manager's phone

The request goes to the person's manager, or to HR when there's no manager. Pending hours are held, so nobody books the same balance twice, and approval checks the balance again before it confirms.

- Weekends and public holidays never use leave
- Email notifications for new requests and decisions
- A note is required to deny a request

## Self-service balances

Each person sees their balances, what they've booked and the balance after each request. They book leave themselves, so the question of how many days are left stops coming to HR.

- Balances by leave type, with hours used this year
- Every request with its status and the balance after it
- A leave statement in Excel for any date range

## Questions

### Does it count leave the way Malta does?

Yes. Leave is counted in hours against each person's schedule. Public holidays come from the company's calendar, and each policy sets its own accrual, pro-rata, carry-over and expiry.

### Can we bring our current balances across?

Yes. We import opening balances from your spreadsheet or your current HR system and check each one with you before anyone books.
